Your Service Desk Already Has an AI Copilot. Why Are You Paying Twice?

Companies pay for a standalone AI assistant and an ITSM whose AI only does IT. Atom's content settings let one governed assistant do both, for less.

TL;DR: Almost every service desk AI, including ours until you turn this on, is pitched as an IT troubleshooter: reset a password, unlock an account, check a ticket. The category error everyone is making

Walk the floor of any ITSM vendor, ServiceNow, Jira Service Management, us included, and the AI pitch is the same: it resolves IT issues. Reset a password. Unlock an account. Provision an app. Check a ticket status. All useful. All real. And all a fraction of what the assistant can actually do.

Here is what that narrow pitch trains employees to do. They learn that the assistant in Slack or Teams is the IT bot. So they use it for IT, and the moment they have a normal question, how do I write a Python script to rename files, what are the symptoms of seasonal allergies, help me solve 2x plus 5 equals 15, they leave and open a different AI tool. A tool the company is very likely paying for separately.

That is the quiet waste. Not that the service desk AI is bad. That it is being sold short, and a second AI subscription is filling a gap it could have filled itself.

What Atom's content settings actually do

For genuinely live specifics, last night's score, a stock price right now, events this weekend, accurate answers depend on a connected real-time source, the same as any assistant.

Governed, not a consumer chatbot bolted on

The reason companies hesitate to point employees at a raw public chatbot is control. Who turned it on, what will it answer, where does the data go, what happens with something unsafe.

Content settings are the opposite of raw. An admin chooses which categories are on and which stay off, so the assistant's range is a deliberate decision, not a free-for-all. And there is a moderation layer: content that promotes hate or harm is handled as a safety and reporting matter, not answered. That is the enterprise version of an everyday copilot. Helpful across the topics you allow, governed on the ones you do not, and running inside the same platform where your IT data and access already live.

How this compares to ServiceNow and Atlassian

The category error is industry-wide, not unique to any one vendor. ServiceNow's Now Assist and Atlassian's Rovo are both built and sold as enterprise-grounded assistants: their job is to answer from your company's own data and run your workflows.

Both run on large language models, so both can produce some general answers. Atlassian's own Rovo documentation even lists a general-knowledge prompt category, with examples like how many days until Christmas or a time-zone conversion. The difference is what the vendor tells you to do with it. Atlassian's acceptable-use guidance for Rovo advises against relying on it when you need current and accurate information about people, places, and facts. ServiceNow's Now Assist is grounded on your knowledge base and runs on a model tuned for enterprise work.

So the gap is not raw capability. It is intent. Neither positions or governs an everyday-topics copilot for employees. Atom's content settings do exactly that: an admin turns on the everyday categories they want, and everyday help becomes a first-class, governed feature, not a side effect the vendor warns you not to trust.

The economics: one assistant, two jobs, one bill

In the usual setup you pay two bills. The standalone AI assistant is a per-employee line item: as of mid 2026, Microsoft 365 Copilot is 30 dollars per user per month, which is 360 dollars per employee per year, and ChatGPT's business tiers land in a similar range. On top of that you run a separate ITSM or helpdesk, licensed per agent. Atomicwork is 50 dollars per employee per year, all in: the AI copilot and the ITSM together, one bill.

Here is the same story at three company sizes, using Microsoft 365 Copilot's published 30 dollars per user per month for the AI line, and a conservative, illustrative assumption of one IT agent per 100 employees at 60 dollars per agent per month for the helpdesk line, since ITSM is sold per agent and real pricing varies widely.

500 employees: the two tools run about 183,600 dollars a year, Atomicwork is 25,000 dollars, so you save about 158,600. 1,000 employees: the two tools run about 367,200 dollars a year, Atomicwork is 50,000 dollars, so you save about 317,200. 5,000 employees: the two tools run about 1,836,000 dollars a year, Atomicwork is 250,000 dollars, so you save about 1,586,000.

Per employee per year, that is roughly 367 dollars for the two-tool stack against 50 dollars for Atomicwork, about one seventh the cost, for the same everyday copilot plus a service desk that actually does the work.

The real win is the habit

The dollars are the headline, but the durable win is adoption. Employees already open Atom for IT. Let it answer the rest, and it becomes the daily front door, the first place people ask anything. That habit compounds in a direction IT actually wants: the more people live in the assistant, the more of their IT requests it deflects and resolves in the same window, which is the whole self-service story every service desk is chasing.

How to try it

Turn on two or three everyday categories for one pilot team, the ones that match how they actually work, say Programming, Problem Solving, and Health. Leave the rest off. Watch two numbers for a couple of weeks: how often people use Atom for non-IT questions, and whether their IT self-service usage goes up because the assistant is now where they already are. Expand the categories the evidence supports.

Neither offers an admin-governed everyday-topics mode for employees.

Will this replace specialized tools? No, and it should not claim to. It is a governed everyday assistant plus your service desk in one place. It reduces the need for a separate general chatbot; it does not replace domain-specific software.

The bottom line

The service desk assistant and the everyday AI assistant were never two different things. The industry just sold them as two, and companies dutifully bought two. Turn on the content your people actually ask about, keep it governed, and the assistant they already use for IT becomes the one they use for everything. One assistant, two jobs, one bill.
